Introducing Advanced Mapping for CivicClerk Integration: Streamlining Your Workflow

That’s why we’re thrilled to announce the latest update to our CivicPlus Select Agenda and Meeting Management (formerly CivicClerk) integration, featuring Advanced Mapping capabilities.

CivicClerk is a powerful tool that helps local governments manage and streamline their agenda and meeting management processes. Our integration has always provided a seamless connection between CivicClerk and People Speak, allowing for efficient agenda management and improved public engagement. With our latest update, we’re taking this integration to the next level by enhancing the way items and sections are mapped, ensuring a more intuitive and flexible experience.

What’s New in the Advanced Mapping Update?

Our latest update focuses on refining the way agenda items and sections are mapped from CivicClerk agendas to People Speak meetings. These improvements are designed to reduce manual effort and minimize errors. Here’s a breakdown of the key changes:

Enhanced Item to Label Mapping:

Previously, all Items were mapped generically, making it difficult to distinguish between different types of Items and more complex agendas. We’ve made two updates to this part of the mapping process:

  1. Item to Label mapping allows Items in CivicClerk to be imported as Labels in People Speak. For example, you can map Non-Action Items or Executive Sessions Items to Labels. 

  2. Public commenting default setting mapping allows Items in CivicClerk to be imported to Items in People Speak with commenting for that Item automatically enabled or disabled. For example, Resolutions and Ordinances can be imported with public commenting enabled, but Proclamation or Presentation can be imported with commenting disabled.  

To use this functionally, first set up your Agenda Category Types in CivicClerk as you like, and then determine how you want each type to import into People Speak. Once it’s configured, the mapping will be automatic each time you import (or update) a meeting. 

Section to Label Mapping:

All Sections within CivicClerk are still mapped to Labels in People Speak, ensuring that your agenda structure is consistently organized across the two platforms. This is particularly beneficial for complex agendas with multiple sections. 

Streamlined Numbering:

We’ve cleaned up the numbering process for imports as follows:

  • Sections will no longer be numbered, reducing clutter and confusion.

  • Items will now be numbered incrementally (Item 1, Item 2, Item 3, etc.), providing a clear and logical sequence for meeting attendees to follow that is consistent with the agenda document.

The new Advanced Mapping features are all about enhancing your workflow and ensuring consistency. By expanding the flexibility and improving the organization of agenda Items and Sections when importing from CivicClerk, we’re helping save you time to create user-friendly meetings.
